Updates to Account Codes and Related to PayServ Position Pools for SFS (Statewide Financial System) Fiscal Year End

Purpose

To inform agencies of action required to ensure that payroll earnings charges are properly transmitted to SFS and posted to the General Ledger. Payroll representatives not directly involved with SFS should refer this bulletin to your agency Finance Officer or SFS agency coordinator.

In order to process necessary Fiscal Year End activities, SFS must be briefly taken offline at the end of March 2014. As a result of this blackout period, agency and OSC actions are required.

Effective Date(s)

The first pay periods impacted are for the checks dated April 3, 2014 for Institution and April 9, 2014 for Administration

Critical Date(s) For Agency Action

  • Cost Center updates in SFS must be completed by March 21, 2014, prior to the start of the Fiscal Year End processing.
  • Updates to Position Pools must be completed by March 24, 2014.

OSC Actions

OSC will begin Fiscal Year End activities on March 24th, 2014 for the paychecks dated April 3, 2014 (Institution) and April 9, 2014 (Administration).

OSC will submit the accounting interface to SFS on March 28, 2013.  Please refer to SFS for any information regarding when the payroll charges will appear in SFS.

There should be no disruption to PayServ system availability during this time.

For agencies that utilize the NHRP521 (Agency Back-End Splits), the file will not be accepted during the SFS Fiscal Year end Blackout period for checks dated April 3, 2014 (Institution) and April 9, 2014 (Administration).
